LegalBill AI ("we", "us", or "our") operates the website at legalbillai.com and the LegalBill AI mobile application. This policy explains what data we collect, how we use it, and your rights.

1. Information We Collect

When you create an account, we collect:

Your email address
Your password (stored as a one-way hash — we cannot read it)

When you use the app to record billing entries, we process:

Your voice recordings (audio files)
The transcribed text of your billing descriptions
Matter name and matter number (entered by you)

We also collect a device identifier to enforce free tier usage limits. We do not link this identifier to your identity.

We collect standard web analytics data (pages visited, browser type, approximate location) via Google Analytics.

2. Third-Party AI Processing — OpenAI

Important: LegalBill AI uses OpenAI (openai.com) to process your voice recordings and generate formatted billing text. When you record a billing entry, the following data is transmitted to OpenAI's servers:

Your audio recording (processed by OpenAI Whisper for transcription)
The transcribed text (processed by OpenAI GPT-4o for formatting)

We do not store your audio recordings or billing descriptions on our servers. OpenAI's Privacy Policy governs their handling of this data. OpenAI does not use API-submitted data to train their models by default.

3. How We Use Your Information

Email and password: to authenticate your account and manage your subscription
Audio and transcribed text: solely to generate formatted billing entries via OpenAI — not stored, not reviewed by us
Device identifier: to track free tier usage limits only
Analytics: to understand how the app is used and improve it

We will never sell, rent, or share your personal information with third parties for marketing purposes.

4. Payment Processing — Stripe

Subscription payments are processed by Stripe (stripe.com). We do not store your credit card information. Stripe's Privacy Policy applies to payment data.

5. Data Storage and Security

Your account data (email, hashed password, subscription status) is stored on servers hosted by Railway (railway.app) in the United States. We use industry-standard encryption for data in transit (HTTPS) and at rest.

Audio recordings are transmitted directly to OpenAI and are not stored on our servers at any point.

6. Cookies and Analytics

We use Google Analytics to measure site traffic and ad performance. This may set cookies on your device. You can opt out via the Google Analytics Opt-out Browser Add-on.

7. Your Rights

You may request deletion of your account and associated data at any time by emailing us. We will delete your data within 7 business days. Note that data already transmitted to OpenAI is subject to their retention and deletion policies.

8. Children's Privacy

Our service is intended for legal professionals and is not directed at anyone under 18. We do not knowingly collect data from minors.

9. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated date. Continued use of the app after changes constitutes acceptance of the updated policy.
